CIRES Weekly Events emails are sent each Monday morning. CIRES events must be entered on our website’s events page (https://cires.colorado.edu/events) to be eligible for inclusion in the CIRES Weekly Events emails. Instructions for adding CIRES events to the website can be found below.
If you have an event to promote that is not hosted by CIRES or that features a CIRES person, please send a request to ciresnews@colorado.edu no later than 5 pm on Wednesday before the next Weekly Events email. You must provide a URL for any non-CIRES-hosted event.
Deadline for event submission to the CIRES Weekly Events email: Wednesday, 5 pm.
If events are added to the website or passed along to the CIRES Communications team after 5 pm Wednesdays or if they are missing contact or access (Zoom/location) information, we cannot guarantee they will be included in WE.
Instructions
Log in
- Log in to https://admin-cires.colorado.edu with your Identikey username and password
- If you require access, please submit a request to ciresithelp@colorado.edu with your Identikey username, CU email address, and full name. CIRES IT will ping CIRES Communications for approval.
- At the top of the window, select Content >> add content >> event

First tab: Content
Event uploaders must fill out these sections: Start and End Date/Time, Title, Summary, and Body. You can ignore the “Paragraphs” section.

- Add a Title
- Use sentence case (not Title Case). Capitalize the names of events/proper nouns. Examples:
- CIRES Community of Practice meeting
- CIRES Community of Practice = proper noun
- “meeting” is not a proper noun = lowercase
- Crafting a superb conference presentation
- The phrase is not a proper noun = the first word is capitalized; the rest of the title is lowercase
- CIRES Community of Practice meeting
- Review our naming conventions for repeating events:
- For monthly repeating events, please use "Name Month Year" or “Name Month Day, Year” as appropriate. Examples:
- CIRES Town Hall March 2025
- CIRES Town Hall March 21, 2025
- Used when CIRES hosted another town hall earlier in the same month
- CIRES Members' Council meeting April 2025
- For repeating seminar/webinar series (like EDS seminars, NSIDC seminars, etc), use “Seminar name: speaker name, affiliation" or “Seminar name: topic” if there are multiple speakers or presenters. Examples:
- NC CASC Webinar: Geoff Bedrosian, US Fish and Wildlife Service
- CLEAN Webinar: Climate adaptation and mitigation
- For repeating events with no difference in agenda or speaker, please use “Name Date”
- Example: ESOC Coffee Hour April 2, 2025
- For monthly repeating events, please use "Name Month Year" or “Name Month Day, Year” as appropriate. Examples:
- Use sentence case (not Title Case). Capitalize the names of events/proper nouns. Examples:
- Add Start and End Date/Time (Required)
- Add Summary text (Required): Enter a short description of the event. This should be one sentence or a short phrase. The summary ONLY displays on the event card on the CIRES events page: https://cires.colorado.edu/events
- Add Body text (do not leave this section blank): This is where you enter the full event description. Please add a separate line at the end if the event includes food.
- If you put all your text in the summary, it will not display on the event page.
Second tab: Metadata
Event uploaders must fill out these sections: Room/Building or Online Platform, Link (if there is a webinar link or additional info), Availablity, and Event Type.

Display On: You can leave this section blank or enter where on the website (e.g., ESOC, ACI) you want the event to display.
- Note: CIRES Communications or IT must set up webpages to display events; they won't automatically display. Please email ciresnews@colorado.edu if you would like to add events to a specific webpage.

Room/Building or Online Platform: Do not leave this section blank! Enter the Room/building if the event is in-person or hybrid. Enter the name of the online platform if virtual. Enter both if the event is hybrid. Examples:
- Zoom
- CIRES Auditorium
- Zoom and CIRES Auditorium

Link: Use this section when you have a link for webinar access, registration, or additional information. Links entered in this section will display as blue hyperlinked buttons on the event page. The link title is the text that appears on the button. Examples:
- Link title: Zoom link for webinar; Link: [insert Zoom URL]
- Link title: Register for Zoom link; Link: [insert registration link]
- Link title: Directions; Link: https://cires.colorado.edu/directions

Availability: Do not leave this section blank! No = closed to the public; only open to CIRES people. Yes = open to the public. Examples:
- CIRES Seasonal Celebration party = closed or “No”
- Most science webinars and seminars = open to public or “Yes”

Host: Select one or more. Examples:
- NSIDC seminars = NSIDC
- DLS or IRP session = CIRES
- Atmospheric Chemistry Seminars = CU Boulder
- Audience: Select who this event is intended for. You can choose multiple groups.

Event type: do not leave this section blank! Examples:
- NSIDC Seminar = Seminar
- ASA training = Training
- Rendezvous = Symposium
- Seasonal Celebration = Annual Event
- Doesn’t fit into any of the existing categories? = Other

People reference: Enter the name of the event contact (for CIRES employees only).
- IT is updating this field to display the contact person's name and email. IT will also be using this field to link to people's profiles.
- If the event contact person is not at CIRES, please include their contact info in the body text.
