The Annual AMS Meeting is being held in Denver, Colorado & Online January 10 – 14, 2027.

Do I need to submit a travel request on InsideCIRES to attend the Annual AMS Meeting in Denver?

Yes - If you are a remote employee and live outside of the Denver/Boulder/Front Range area.

Yes – if you are local to the Denver/Boulder/Front Range area and plan on claiming lodging in addition to other travel and/or conference fees.

No – If you are attending virtually and only plan to claim registration and/or abstract fees. Please email cirestravel@colorado.edu a completed travel voucher and your itemized receipt(s) once the conference has ended. They will create an expense report for you to be reimbursed.

No – If you are local to the Denver/Boulder/Front Range area and are not planning on claiming lodging but are planning on claiming mileage, parking, registration fees, abstract fees, or per diem.* Please email cirestravel@colorado.edu a completed travel voucher and your itemized receipt(s) once the conference has ended. They will create an expense report for you to be reimbursed.

**Please note: The CIRES Travel request system does not allow for single day trips.

For local attendees to AMS:

Lodging: We anticipate there will be folks who will request lodging and some who will commute to Denver each day/some days of the meeting.

CIRES does not have a mileage restriction on how far travel must take you to allow overnight lodging. CIRES does require a business justification explaining why you may require lodging and to stay in Denver for this meeting.

If you are submitting a travel request and planning to claim lodging for this meeting, please be sure to include a business justification on your travel request that specifically addresses why you require overnight lodging. This is in addition to explaining why your attendance at AMS is necessary and beneficial to your project!

Mileage: Mileage is reimbursable, less your daily commute Monday - Friday. Gas for a personal vehicle is not a reimbursable cost. If you work a hybrid schedule your daily commute is deducted if mileage is being claimed any day Monday – Friday, regardless of your actual in-office day(s).

Per Diem: If you are local to the Denver/Boulder/Front Range area, 75% per diem can be claimed on single business days that last 12 hours or more (including commute time). The CIRES travel team will confirm with each traveler which day(s) were at least 12 hours or more.

Parking: is an allowable cost. An itemized receipt is required for costs over $75.

Registration & Abstract Fees: Please see this blog for detailed information on how/when to pay for and reconcile these costs. Itemized receipts are required for all amounts for a registration fee and abstract fee.
