Viewing Your Colleagues Outlook Calendar Availability

Scheduling is very difficult, luckily if everyone at your meeting has been keeping their Outlook Calendars up-to-date, finding a good meeting time as well as an available room can be done quickly using the Outlook Scheduling Assistant.

To use the Outlook Scheduling Assistant, simply follow either of the guides below:

Outlook On the Web & New Outlook Desktop Outlook Desktop (Classic)

Using Outlook on the Web & New Outlook Desktop

  1. Click the Down Arrow next to New Mail and Select Event
  2. Add the the emails of those you would like to attend the meeting in the Person Field
  3. (Optional) Add the Room you would like to use in the Location Field
  4. On the right side of the window you will see a view that will show everyone's free/busy schedule and you can select at time that is available (the selection will turn green and say “Everyone is available” 
  5. You can select the expand arrow (top right) to see a larger view of available times
  6. Once you have found a good time for everyone, simply click the Send Button (top left).

Outlook Desktop (Classic)

  1. Click the down arrow under New Items → Meeting

  1. Add the the emails of those you would like to attend the meeting in the Required and Optional fields
  2. (Optional) Add the Room you would like to use in the Location field
  3. Click Scheduling Assistant on the top menu bar

  1. Select An open time for the attendees and room availability

  1. You can go back to the original message by clicking Meeting in the top menu bar
  2. Once you have found a good time for everyone, simply click the Send Button (top left).
