Paying Research Affiliates via APFs and Payroll

In general, we should not pay Research Affiliates via Additional Pay Forms. Most do not have W-4s on file or set up direct deposit. If we pay a Research Affiliate via an Additional Pay Form, they will be issued a W-2 at year-end for earnings at the University. It is best to process via the CU Systems Procurement Service System using a Payment Authorization Form.

From the payroll office:
If you process an AWR on the Research Affiliate $0 Compensation, the home dept may be charged the Employer share of OASDI 6.2% and Medicare 1.45% by your campus controller.  The ER share of taxes may be charged to the speedtype you use when you enter the AWR.  Each campus assigns fringe differently.  The Boulder HRSC may be able to advise.  Paying the AWR through payroll will generate a 2026 W-2.

If you process it through PSC, they may push it back since they’ll see he’s an active employee. When you submit the form to PSC, let them know payroll reviewed it, they have no earnings that year or taxable benefits, and they're not expected to have a  W-2 sent to them.  To pay through PSC, use the Payment Authorization form on the PSC Forms page:  Forms | University of Colorado .
