OneDrive and Google Drive File Exports before departing CIRES

Learn how to easily export your data from various cloud services to share with a supervisor upon leaving your position at CIRES

Choose this option if you wish to backup data from Google Chrome, Gemini, Chat, Earth, Meet, Photos, Keep, Maps, or YouTube.

OneDrive

  1. Sign in to OneDrive: 
    1. Click here or Open a browser (Chrome, Firefox, Safari, Edge) and navigate to https://office365.colorado.edu/.
    2. Sign in with your identikey@colorado.edu and identikey password, you may also have to approve a MFA/DUO request.
    3. Click on the square of 9 dots on the top left of the page.
    4. Click on OneDrive or Search for it if you do not see it listed.
    5. On the left side bar, click My Files
  2. Locate the files/folders:
    1. Navigate to the location of the files or folders you want to download. 
  3. Select the items:
    1. When you hover over a file or folder an empty circle appears to the left.
    2. Click the checkbox next to each file or folder you want to download. 
  4. Initiate the download:
    1. Click the "Download" button in the top toolbar. 
  5. Save the file(s): 
    1. Your browser will prompt you to choose a location to save the downloaded file(s). 
  6. Download as .zip: 
    1. If you selected multiple items, they will be downloaded as a single .zip file. 
  7. File name: 
    1. If needed, you can rename the downloaded file(s).
 
 

Google Drive Only:

  1. Download Files from Google Drive:
    1. Sign in to your Google Drive account.
    2. Select the files or folders you want to transfer. 
      1. To select multiple items, hold ctrl (win) or cmd (mac) while you select each item.
      2. To select all, click one item and then press ctrl+a (win) or cmd+a (mac).
    3. Right-click and choose "Download".
    4. Save the .zip file to your computer (usually in the Downloads folder)
  2. Extract Files, if necessary:
    1. Locate the downloaded .zip file on your computer.
      1. To extract, right-click the .zip file
      2. Select "extract all" 
      3. Choose the folder location you wish to extract the files, the default is the current location of the .zip file 
        1. This can be changed to an external drive or shared folder if necessary
      4. Click “Extract”
      5. The files will appear in the location specified in step a-iii.
 
 

All Google data via TAKEOUT:

  1. Open Google Drive:
    1. Sign in with your Google account, if not already.
    2. On the left side bar, at the bottom, take note of how much storage is being used.
  2. Open Google Takeout:
    1. Sign in with your Google account, if not already.
    2. Select Data to Include:
      1. Click on “Deselect all”
    3. Scroll down and check the boxes next to the Google apps you wish to download data from.
    4. Customize Data Selection for Google Drive:
      1. Click on "All Drive data included" to select specific folders if needed.
    5. Scroll down and click "Next step".
    6. Choose file type, frequency & destination:
      1. In the "Destination" dropdown, select “Send download link via email”.
      2. In the “Frequency” section, select “Export once”.
      3. In the “File type" dropdown, select “.zip”.
      4. In the “File size” dropdown, select the amount that is greater than the amount of storage being used in step 1b.
      5. If your storage exceeds 50GB total, select "50GB" in the dropdown. It will create multiple zipped files until all data is included.
      6. Click “create export”.
  3. Check email for download link, open the link “Manage Google Takeout request”.
    1. Verify google login.
    2. Click “download”.
    3. A .zip file will download, you may keep this as a .zip file or extract it to access all the files:
      1. To extract, right-click the .zip file.
      2. Select "extract all".
      3. Choose the folder location you wish to extract the files, the default is the current location of the .zip file. 
        1. This can be changed to an external drive or shared folder if necessary.
      4. Click “Extract”.
      5. The files will appear in the location specified in step 3.c.iii.

Sharing files with your supervisor

via CU Large File Transfer

  1. Click here or Open a browser (Chrome, Firefox, Safari, Edge) and navigate to https://filetransfer.colorado.edu/.
  2. Sign in with your identikey@colorado.edu and identikey password, you may also have to approve a MFA/DUO request.
  3. Click compose new message.
  4. In To: [Your supervisor's email address].
  5. In Subject: Type “Departing Employee - [Your Name] - [OneDrive files or Google Drive files]”.
  6. If you are sharing a .zip file, click the attach file button.
  7. If you are sharing a folder you already extracted, click the attach folder button.
  8. Type a message to your supervisor letting them know these are the files from your [cloud service] account.

via External Hard Drive/USB Drive

  1. Connect your external drive or usb drive to the computer you downloaded your [cloud service] files to.
  2. Open File Explorer (Windows), Finder (Mac).
  3. Find the .zip file you downloaded above or the folder you extracted from the .zip file.
    1. Right-Click the file/folder and copy it.
  4. Find the external drive/usb drive on the left side bar, click to open it.
    1. Right-Click the file/folder and paste it.
  5. Give the external drive or usb drive to your supervisor before your last day at CIRES.
