OneDrive File Sharing

Follow these steps to share a file from OneDrive

On the web:

  • Log in with your IdentiKey@colorado.edu and IdentiKey password
  • Complete 2-factor Authentication (if required)
  • Once on the home page, look for the 9-dot cube on the top left →
 
 

Open OneDrive

  • Click the 9-dot cube and then click OneDrive

 
 
  • On the left side-bar, click the folder icon to open “My Files”

                              

 
 

Select Files or Folders to share

  • Hover to the left of a file or folder to see the circle appear. 
  • Click to fill the circle to select one or more files/folders.
  • Click Share on the menu bar above the file/folder list. Click the video below to play animation.
 
 

Modify Share Settings

  • In the Share window there are two places to modify settings:
    • The eye icon next to the recipient field - Permission Settings.
    • The gear icon next to the Copy link button - Link Settings.

Permission Settings

  • Adjust this to change recipient permissions.
    • The default is “Can view” so the recipient can see the file/folder but not make any changes.
    • Change this to “Can edit” if the recipient needs to modify the shared file/folder after they receive access.
    • Change this to “Can't download” if you want the recipient to be able to view but not download the file/folder.
 
 
  • Adjust this to allow internal and external users to access the file/folder based on the permission settings.
    • Anyone - allows anyone with the link to view the file/folder.
      • Use for public file/folder.
      • No sign-in required.
    • People in UCB-O365 - allows anyone with a CU-Boulder account to access.
    • Only people with existing access - reshare with people who already have access.
    • People you choose - allows specified internal and external users access.
      • Recipient will need to log-in to a Microsoft account, personal or UCB.
    • More settings:
      • Adjust permission settings here if not already completed.
      • Set expiration date - Share access until a specified date at which access will be disabled.
  • When done, click Apply to save the changes
 
 
 
 

Complete Share

  • After modifying the settings, you will return to the Share window
    • Enter the name, group or email of the recipient(s). 
    • You will need to click on each recipient after you type it to enter it into the field. Click the video below to see how.
  • Add a message if necessary
  • Click Copy link - to copy the link to clipboard and share via preferred method
  • Click Send - to send an email directly with access to the file/folder
 
 

From your computer via Finder or File Explorer:

Open Finder (Mac) or File Explorer (Windows)

  • Find and select the file/folder you wish to share
  • Right click and look for “OneDrive” (Windows) or “Share” next to a OneDrive icon (Mac)
  • Click Share

How to access a shared file/folder

What the recipient will see:

To open a shared file via clickable link that was shared to you: 

  • Click the link to the shared file.
  • You will be directed to a browser page similar to the following:
  • If the file was shared to a CU account:
    • Enter your Identikey@colorado.edu and Identikey password (You may need to complete 2-factor authentication), the file will open in the browser.
  • If the file was shared to an external email address that has an existing Microsoft account:
    • Enter the email address and password (You may need to complete 2-factor authentication), the file will open in the browser.
  • If the file was shared to an external email address that does not have an existing Microsoft account:
    • Enter the email address and password, you will see the following:
  • Enter the code sent in the email that looks like this:
  • Once you enter the code and click Sign in, the file will open in the browser window.
 
 

From Email

  1. If you receive a shared file in an email, it will look similar to this:
  • Click the file or click Open
  • You will be directed to a browser page similar to the following:
  • If the file was shared to a CU account:
    • Enter your Identikey@colorado.edu and Identikey password (You may need to complete 2-factor authentication), the file will open in the browser.
  • If the file was shared to an external email address that has an existing Microsoft account:
    • Enter the email address and password (You may need to complete 2-factor authentication), the file will open in the browser.

    • Enter the email address and password, you will see the following:
