Information for CIRES Fellows About InsideCIRES's Personnel List

Purpose of Page

Your personnel list can be found at https://insidecires.colorado.edu/pmt/researchers.php. It allows you to make basic updates to people who are affiliated but not necessarily employed by CIRES. This includes grad students and post-docs.

You can do several things on this page:

  • Add or remove a suggested affiliation. A suggested affiliation is a person InsideCIRES believes may be associated with CIRES but who doesn't yet have an InsideCIRES record.
  • Enter a brand-new affiliation. If you don't see someone suggested but want to add them, you can do that here. CIRES IT will then review the submission.
  • Modify an existing affiliation. 

Updating these data helps us keep our payroll salaries correct. It also provides your team access to InsideCIRES, adds them to CIRES email lists, and gives them access to CIRES services. If you have any questions about what information to enter here, please contact becca.edwards@colorado.edu.

Adding or Removing Suggested Affiliations

Click the button next to a suggested affiliation to add or remove the person. Removed affiliations can always be added back later. However, you should add them now if you think the person may want to log on to InsideCIRES for any reason, for example to apply for a graduate student travel award .

When you add a suggested affiliation, you will be asked to verify basic information like the person's affiliation dates and grad status. Once you submit the data, the affiliated person is automatically added to the personnel system and emailed InsideCIRES login credentials.

Suggested Affiliations

Suggest Affiliations are based on the following criteria:

  • CU employment data finds appointments you supervise where the appointment holder is not listed in InsideCIRES personnel data. This data identifies both grad students and post-docs. 
  • University student data finds students you supervise who are missing from InsideCIRES data. University records identify grad students only. 
 

Adding Brand-New Affiliations

You can enter affiliations by clicking on the Add New CIRES Affiliation button in the upper right of the screen. 

You will then be prompted to enter the affiliate's name, email, start date, and other fields. 

When you enter a brand-new affiliation,  CIRES administration will be notified that they need to approve the affiliation. Once it's approved, you will be notified and InsideCIRES login information will be emailed to the new affiliate.

Editing Existing Affiliations

You can edit existing affiliations by clicking the blue Edit button next to the person's name.

This will bring up a form where you can make edits. 

Viewing Past Affiliations

Past graduate students and post-docs are displayed in the Past Personnel tab at the top of the screen. 

Note

This tab may not display all your past graduate students and post-docs, because older information may not be available. 

If you would like to add students so InsideCIRES displays updated information, please send a help ticket to cireshr@colorado.edu. Include the following information for each affiliate:

  • Name
  • Current email (if known)
  • Approximate dates they were at CIRES
  • Affiliation type: grad student or post-doc
